Volunteer Policy

Overview

The Muskego Youth Football Program is a volunteer-driven organization, powered by the dedication of past and present board members, coaches, and many others who generously give their time. Volunteers are the backbone of our program and are vital to maintaining a high-quality youth football experience.


Our program is funded through registration fees, fundraising efforts, and generous community sponsorships. As a 100% volunteer-run organization, we rely heavily on parent involvement to keep everything running smoothly. By volunteering, you not only support the program but also set a positive example for our young athletes while becoming part of an outstanding community effort.


We encourage you to take a moment to review the volunteer requirements outlined below and consider how you can get involved.


Volunteer Requirements

Each family is required to complete two (2) volunteer shifts at Muskego Youth Football (MYF) events during the season. Volunteer opportunities will be assigned to each team based on the number of home games and the overall needs of the organization.


If a family is unable to fulfill an assigned shift, it is their responsibility to arrange a replacement or coordinate a swap with another parent. Substitutes must be at least 18 years old. Failure to show up for a scheduled shift—without a replacement—may result in forfeiture of the $300 volunteer deposit, especially if no other opportunities are available to make up the missed shift.

Obligation

To ensure a fair and consistent approach to volunteer participation, a $300 volunteer deposit is required per family. This deposit must be submitted in the form of a post-dated check (dated 12/1/2025) made payable to Muskego Youth Football.


The check will be held by the organization and will not be cashed as long as your family completes the required volunteer commitments. Once your volunteer obligations are fulfilled, the check will be securely destroyed at the end of the season.


Please note: The deposit check must be submitted before your player can receive equipment and is due at the time of equipment handout.

Volunteer Fee Opt-out Donation

MYF requires a $300 per child donation if your family chooses not to volunteer for any organization events leading up to the start of the season or during the season. This fee is payable at the time of registration via credit card. Once you opt-out your family will not be required to volunteer for any events during the season.

Who can volunteer?

Any family member 18 years of age or older may volunteer at MYF events to fulfill the family’s volunteer requirement.


Please note the following age restrictions:

  • No one under 18 is allowed in the announcer’s booth at any time.
  • Volunteers working the chain gang must also be at least 18 years old.
  • Children of volunteers under the age of 18 are not permitted in restricted volunteer areas.


Who is exempt?

Coaches and members of the Board of Directors are exempt from fulfilling the standard family volunteer requirement.


Committee members are also eligible for exemption, but must submit the $300 volunteer deposit at the time of equipment handout. This deposit ensures accountability and will be returned or destroyed at the end of the season upon successful completion of committee responsibilities.


Event Or Gameday Procedure


Check-In Required:

All volunteers must check in with the event organizer and sign the official sign-in sheet to receive credit for their volunteer shift.

Opening Duties:

The first shift of each game day includes opening the Spirit Wear stand and setting up the football field.

Reporting Times:

  • Field Setup Volunteers must report to the Field Director 1.5 hours before the first game.
  • Spirit Wear Volunteers scheduled for the first shift must report to the Spirit Wear Manager 1 hour before the first game.


Closing Duties:

The final shift of each game day includes closing responsibilities, such as cleaning and putting away equipment. One hour of time is built into these closing opportunities.

Handling of Cash:

Only designated Spirit Wear staff are permitted to operate the cash register and handle cash—except for authorized sales near the game fields (e.g., 50/50 raffles).

Team Cleanup:

After each game, teams are responsible for cleaning up their designated area, including the field and bleachers. Let’s work together to keep our home field clean and set a positive example for our guests.

  • Committee Members (e.g., Cookie Dough Sales, Practice Field Support, Volunteer Coordination)


How are volunteer requirements determined?

For each home game, the following volunteer positions must be filled:

  • 4 Spirit Wear Volunteers
  • 3 Chain Gang Members
  • 2 to 4 Field Setup Volunteers
  • 3 to 4 Field Cleanup Volunteers


In addition to game day roles, Muskego Youth Football (MYF) offers a variety of other volunteer opportunities throughout the season that can count toward your family’s volunteer requirement.


How are volunteer requirements assigned?

Parents will receive their team’s game schedule and volunteer requirements in mid-August, once teams have been drafted and players assigned. The Board will distribute this information, along with instructions for signing up for volunteer shifts, and will set a sign-up deadline for each team.


If a family does not select a shift by the specified deadline, the Board or Volunteer Chair will assign a shift on their behalf and notify the family of their scheduled responsibility. To ensure the best fit, families are strongly encouraged to sign up for shifts that work well with their personal schedules when the list is first released.


Important Notes:

  • All volunteer assignments will be tracked in our online system.
  • A weekly review of the schedule will be conducted to ensure coverage, and reminders will be sent to families scheduled for that week.
  • Every effort will be made to schedule volunteers in a way that avoids conflicts with their player’s or cheerleader’s game times.
  • If a shift needs to be rescheduled, the family must coordinate with the Board or Volunteer Chair, and the update must be reflected in the system.


Volunteer Fee Refund

Volunteer deposits will not be refunded if a family does not fulfill the required volunteer obligations by December 31st of the current year. If the requirements are completed, the volunteer check will be securely destroyed.


If a family withdraws from the program before October 1st without fulfilling the volunteer requirement, they may be eligible for a 50% refund of the volunteer deposit only if the withdrawal is due to a medical reason not related to an injury sustained during practices or games.


Families who dis-enroll prior to the start of games will have their volunteer deposit voided in full.


Modifications & Hardship Requests

All requests to adjust or modify volunteer requirements must be submitted in writing to the Executive Board. The Board has the discretion to modify requirements in cases of hardship or extenuating circumstances, which will be reviewed and handled on a case-by-case basis.
